Information for Authors with Oral Presentations

PowerPoint Presentations from those presenting their abstract orally are due NO LATER THAN February 22, 2019.  

Oral presentations are scheduled for Thursday, April 4 and Friday, April 5.   Authors have precisely 10 minutes to present. PCRS recommends a maximum of 15 slides. PCRS must receive your materials (PowerPoint, etc) no later than February 22, 2019, in order to have them reviewed by the PCRS CME Committee prior to the Annual Meeting Program publication deadlines. ***Once accepted by our CME Committee, you may not change your presentation in any way without the direct consent of PCRS. 

Your first or second slide must disclose an accurate representation of any association, funding, or other financial or substantive relationships with commercial entities that may be seen as a conflict of interest for any of the authors or their immediate family members. If you do not have any disclosure, the slide remains a requirement and must state that you do not have anything to disclose. You will also be contacted via email to complete an electronic disclosure form. Please complete this as soon as you receive it. This form must be completed and submitted even if you have nothing to declare.

All presentations must be in made in English. The original version of the submitted abstract will be published electronically in a special supplement of Fertility and Sterility in advance of the PCRS Annual Meeting.

Information for Authors with Poster Presentations

The poster presentation reception is scheduled for Friday, April 5, 2019, 5:30 pm to 6:45 pm, in the Esmeralda Ballroom Foyer. Authors of odd numbered posters must be available at their posters from 5:30 to 6:15 pm. Authors of even numbered posters must be available at their posters from 6:15 to 6:45 pm. All guests must have badges to enter the reception. Guest badges may be purchased during online registration or on-site at the registration desk.

The poster board is 4'x6' with maximum poster size of 3'8" tall (1.12m) by 5'7" wide (1.7018m). Illustrations must be readable from distances as far as 4 feet (1.22 meters). Charts, drawings, and illustrations should be similar to those used in making slides. These simple, bold line drawings should be clear, concise, and easily read. Simple use of color can add emphasis. Paper or canvas that can be pinned to poster board is recommended. Boards are cumbersome to attach and no hardware will be provided. Keep illustrative material simple.  At the top of your poster board prepare a label indicating your abstract title and authors’ names and affiliations. The lettering for this section should be at least 1" (2.54 cm) high. Pushpins and thumbtacks will not be provided. Please bring your own. 

Your poster may be put up on the display board marked with your poster number Thursday evening April 4,  from 8:00-9:00 p.m. and Friday morning April 5,  from 7:00-8:30 a.m. Judging will begin at 8:30 a.m. Friday morning and continue throughout the Friday.

Please do not remove your poster until after 8:00 p.m. Friday night in order to ensure your poster is considered for the awards. Posters not collected Friday night by 9:00 p.m. will be collected and saved until 8:30 am Sunday, April 7, 2019. 

All presentations must be in made in English. Please register to attend the 2019 PCRS meeting if you have not already done so.

Submission Instructions

Abstracts submitted to PCRS must contain original work not published previously or presented at a meeting of another national or international scientific organization prior to the 2019 PCRS Annual Meeting.

  • Abstracts must adequately describe the research performed in order for the PCRS Abstract Review Committee to evaluate the quality, originality, and completeness of the work.
  • Two copies must be submitted. Failure to submit correct documents may render your submission ineligible.
  1. Copy number one must be a Word document (.doc, .docx) and include all authors' full names with respective institutions and city and state.  Download sample.
  2. Copy number two must be a PDF of the same document with the authors' names and institutional identifiers removed.    Download sample.
  • Only abstracts structured with the following headings may be submitted:

Background:  A briefly worded description of the reasons for the study.

Objective:  An introductory sentence indicating the objective and purpose of the study.

Materials and Methods:  A description of experimental procedures including applicable statistical evaluation.

Result(s):  A summary of the new previously unpublished data and results.

Conclusion(s):  A statement of the conclusion(s).

Financial Support:  List financial support for each author.

References:  Acknowledge applicable sources, if any.

  • Abstracts must be limited to 500 words, excluding authors, institutions, graphs, equations, and tables.
  • Use 11 pt Arial Regular font. Set title in ALL CAPS.
  • All sources of support for the research must be disclosed and identified in the abstract. This includes any industry employment of authors, even if direct research funding was not received.
  • Ensure the email address entered for each author is current and correct.

Good Things to Know

Withdrawal: The last date to withdraw an abstract accepted for presentation, without penalty, is February 8, 2019. Penalty: Authors whose abstracts are accepted for oral or poster presentation who fail to present their work, fail to have it presented by a co-author, or withdraw the abstract after February 8, 2019, will be ineligible to have abstracts considered for presentation at the PCRS Annual Meeting for the following two years. Exceptions will be considered if the PCRS is promptly notified for extreme, unforeseen circumstances.

  • You will receive an on-screen confirmation following the successful submission of your abstract. Print or capture this screen for your records.
  • Notification of acceptance or rejection will be emailed to the presenting author at the end of January 2019.
  • All decisions made by the PCRS Abstract Review Committee are final.
  • All presentations, oral and poster, must be made in English.
  • Presenting authors of abstracts selected for oral presentation will be required to submit a provided Declaration of Disclosure/Conflicts of Interest. This form must be completed and submitted even if you have nothing to declare.
  • The second slide of all oral abstract presentations must contain full financial disclosure or a statement attesting to the absence of financial support. Subsequent slides must not contain advertising, trade names, product or group messages, or logos, whether commercial or institutional.
  • The presenting author will be the recipient of any earned PCRS award.
  • Submission of an abstract for consideration for presentation implies that the presenting author will register for and attend the meeting to present her/his work. Scholarships are available to qualified reproductive health professionals in training.
  • Poster hanging hours are Thursday from 8:00 - 9:00 PM and Friday from 7:00 - 8:30 AM. All posters must be hung by 8:30 AM on Friday. Presenters must be at their posters during the Friday Night Poster Reception.
