Payment Terms and Methods

Full payment (in US dollars) must accompany your completed application. Accepted methods of payment include the following:

  • Check or Money order payable to Pacific Coast Reproductive Society;
  • VISA/MC

Cancellation

An administrative charge of $250 will be assessed for any cancellation request received before December 31, 2007. To receive a refund for exhibit fees, cancellation must be made in writing and delivered via e-mail, fax, or regular mail. A $500 administrative charge will be assessed for cancellation requests received between January 1, 2008 and on or before February 15, 2008. After February 15, 2008 refunds are not available.

Exhibit Fees

Basic exhibit fees begin at $1,675.

June 2, 2007 to February 15, 2008,  $1675
After February 15, 2008,  $1975.

For an additional $550 fee, your organization may purchase an oversized space against a sidewall or in a corner of the exhibit hall.

The $1675 exhibit fee includes:

  • One skirted six-foot table, two padded side chairs, and wastebasket
  • Space will accommodate one hospital sized, table top display only (6ft wide by 4ft high as it sits upon the table). NB: Due to fire regulations, only booths fitting the above guidelines will be allowed on the exhibit floor. Booths not meeting the size requirements will not be permitted under any circumstances.
  • Booth personnel are limited to an appropriate number of representatives at any given time
  • PCRS will be responsible for identification signs and booth numbering
  • General overhead lighting
  • Security after exhibit hours

Security

PCRS will provide security in the exhibit hall after it closes each day. However, PCRS will not be responsible for injury, loss, damage, or theft to the exhibitor’s representatives or property, no matter what the cause.

Additional Costs

  • Electrical outlet upon request (see attached form)
  • Phone line for Internet access upon request (see attached form)
  • Saturday evening awards dinner $110 (optional)

Before any exhibit is removed from the building, exhibitors must make arrangements satisfactory to PCRS and the hotel for payment of any additional charges incurred in connection with exhibiting.

Shipping Information

A per box charge will be assessed for the delivery of shipment. A fee of $5.00 per box and $50.00 per pallet, and $100.00 per crate will be charged. Charges will be processed to the individual exhibitors. The Hotel will not assume any responsibility for the loss or damages of merchandise sent to the Hotel for storage.

Packages for the meeting may be delivered to the Resort three (3) business day’s prior to the date of the meeting. On your package labels please list the following to ensure proper delivery:
