PCRS 2020 Annual Meeting — CANCELLED

Dear PCRS Annual Meeting Sponsors and Exhibitors,

After many unsuccessful attempts to reschedule the PCRS 2020 Annual Meeting for later this year, we have made the difficult decision to cancel the meeting. We plan to move what programming we can from the 2020 meeting to the 2021 meeting. We sincerely apologize for any inconvenience this may cause.

We are truly thankful to everyone who put in great efforts for this event, including faculty, presenters, sponsors, exhibitors, volunteers, and more. While we are disappointed to miss the education, networking, and science that are hallmarks of our annual meeting, we know we are making the best decision we can at this point amid great uncertainty with the COVID-19 pandemic. Review Frequently Asked Questions

Registration Refunds

2020 Annual Meeting registration fees will be fully refunded to all. Please allow us some time to work through the enormous amount of transactions. You will receive an email confirmation once your refund is complete.

We Appreciate Your Generous Support of PCRS

Our annual meeting is the primary source of annual revenue for our Society, and canceling the 2020 PCRS Annual Meeting has created a situation of severe financial circumstances for our organization. We hope you will consider donating the entirety or a portion of your investment in this meeting to the PCRS Endowment Fund and Scholarship Fund.

You have the option to donate to PCRS, a tax-exempt 501(c)3 organization. Donations will be used to ensure the longevity of the scholarship program so PCRS can concentrate on rebuilding the 2021 program and supporting members.

Exhibitor Schedule

The following hours and dates have been reserved for meeting attendees to visit exhibits. Booths must be staffed during these events: Refreshment breaks (Thursday, Friday, Saturday); luncheons (Thursday and Friday); and Poster Session (Friday evening).

These hours do not compete with any educational activity or social function. (Subject to change to accommodate CME program schedule.) View full rules and regulations for PCRS exhibits.

Standard booths include one skirted six-foot table. *Large booths include two six-foot tables, **Extra Large booths include three tables. If you have your own display and don't need the tables, please let us know.

Space will accommodate only one hospital-sized, tabletop display (6ft wide by 4ft high as it sits upon the table). NB: Due to fire regulations, only booths fitting the above guidelines will be allowed on the exhibit floor. Booths not meeting the size requirements will not be permitted under any circumstances. Booth personnel is limited to an appropriate number of representatives at any given time.

PCRS will be responsible for identification signs and booth numbering, general overhead lighting and nightly vacuuming.

Payment Terms

Full payment (in US dollars) must accompany your completed application. 

Accepted methods of payment: Visa, Mastercard, American Express.

We also accept check or Money order payable to Pacific Coast Reproductive Society.

Cancellation Policy

PCRS understands that circumstances may arise that prevent Exhibitors from fulfilling their commitment to exhibit at the Annual Meeting. Exhibitors who cancel prior to January 1, 2020, will receive a refund of their balance after a $250 fee. Exhibitors who cancel between January 1, 2020, and February 1, 2020, will receive a refund of their balance after a $500 fee. Exhibitors who cancel after February 1, 2020, do not receive a refund but may apply up to 50% to the following year's exhibit fees. To petition for a refund of exhibit fees, cancellation must be made in writing and delivered via e-mail, fax, or regular mail. To petition for a partial refund of exhibit fees, cancellation must be made in writing and delivered via e-mail, fax, or regular mail. See table above for dates and fees. Awards Dinner

Exhibitors are invited to purchase tickets to the Awards Dinner. Enjoy this premier opportunity to network with participants in a relaxed atmosphere outside the exhibit hall. Tickets may be purchased during the registration process, or by logging back in to your PCRS account and accessing your Exhibitor Portal.
